Lead Settings allow you to adjust the way the system handles leads and reservations.
To access your facility’s lead settings:
- Click the Settings Tab to the left of your screen.
- Under the Leads section, click the Settings button. The lead settings screen will appear.
Listed below are definitions of each setting:
Lead Follow Up
Checking this box will create a Task List item to remind you to follow up on a lead 1-99 days after the lead has been made.
Allows you to configure the date you receive a follow up task after a reservation is made through the API. This can help you contact a lead about their reservation at the right time.
If SMS/text messaging is activated for your facility and you have an active SMS Lead Reminder template, an SMS reminder will automatically be sent 1 day after a lead has been created. To adjust how long after the lead has been created to send the message, edit the days field. Once a lead has been converted to a reservation, this setting will no longer apply. To activate the default Lead Reminder SMS message or create a customized message, go to SMS Settings.
Checking this box will automatically close a reservation and change the unit status from reserved to vacant within the time period entered. The expiration timing is from the reservation creation date not the desired move-in date. Note 1: This only applies to reservations. It does not apply to leads because a lead may or may not have a unit and a selected move-in date. If it does have a unit and a selected move-in date, that lead will not be canceled X days after the creation date because the unit is not held for that tenant. It can be rented to someone else. Only reservations will be canceled after X days. Reservations require a unit and a date. They hold the unit for that person and no one else can rent it. The setting exists to ensure units aren't held indefinitely. Note 2: If you change the unit in the reservation, the reservation expiration clock restarts from the date you made the change.
If SMS/text messaging is activated for your facility and you have an active SMS Reservation Reminder template, an SMS reminder will automatically be sent 1 day before the scheduled move-in date set in the reservation. To adjust how long after the lead has been created to send the message, edit the days field. To activate the default Reservation Reminder SMS message or create a customized message, go to SMS Settings.
Allows you to apply a fee to a reserved unit during the reservation process. The fee will need to be set up in Fees and Services before it will appear in the dropdown list.
- If a reservation fee is set, you have the option to automatically credit the reservation fee to the tenant at move-in or not via the checkbox labeled Credit the reservation fee to the tenant at move-in.
Audio Alerts for new 3rd party leads and reservations
If you'd like the software to provide an audio alert (🔔) when a reservation or lead is submitted via a 3rd party integration, navigate to the Corporate area of your software. In Settings under the Software Settings tab, select Lead Settings.
There you can turn the audio alert on or off and limit the alerts based on how far into the future the reservation is.
For example: If you select 2 days, you will only get audio notifications when a reservation is placed with a move-in date 2 days or less in the future.
