OCCUPIED
An occupied unit has a tenant associated with it. Rent is being billed on a recurring basis. Typically, a lease has been signed, and at least the first month's rent has been paid.
Units can become Occupied via two methods:
- A tenant moves in via the Lead/Reservation/Move-In Module
- An integrated online move-in
Occupied units can be marked as dirty via the Add Activity button on the units page.
Occupied units can NOT be marked as damaged.
Dirty status does not supersede Occupied status. Occupied will be the primary status with a notation of Dirty.
Occupied units can be marked as unrentable via two methods:
- Clicking the Edit Status button on the units page
- Editing the unit on the Facility > Units > Individual page
Marking a unit as unrentable does not supersede Occupied status, but if the tenant moves out, the unit will be updated to Unrentable status rather than Vacant status.
Assigning a $0 rent rate to a unit designates it as Complimentary on the Facility Dashboard and in occupancy reporting.
RESERVED
A Reserved unit has a tenant associated with it, but recurring rent billing has not begun, a lease has not been signed, and the first month's rent has not been billed or paid. The unit has been removed from the available inventory and cannot be rented to anyone else.
Units can become reserved via three methods:
- The Lead/Reservation/Move-In Module
- An integrated online reservation form
- Scheduling a Transfer
Reserved units can be marked as Dirty via the Add Activity button on the units page.
Reserved units can be marked as Damaged via the Add Activity button on the units page.
Dirty or damaged status does not supersede Reserved status. Reserved will be the primary status with a notation of Dirty or Damaged.
Reserved units can be marked as Unrentable via two methods:
- Clicking the Edit Status button on the units page.
- Editing the unit on the Facility > Units > Individual page.
Marking a unit as Unrentable does not supersede Reserved status, but if the reservation is cancelled, the unit will be updated to Unrentable status rather than Vacant status.
UNRENTABLE
An Unrentable unit is an occupied, reserved, or vacant unit with the Rentable? field set to No. A unit may be designated as Unrentable automatically if the Allow dirty or damaged units to be rented setting in Corporate Software Settings > Unit Settings is set to No. The unit has been removed from the available inventory and cannot be rented to anyone.
Units can become Unrentable via five methods:
- Clicking the Edit Status button on the units page.
- Unchecking the Rentable box while editing the unit in the Facility > Units > Individual page
- Checking the Company Owned box while editing the unit on the Facility > Units > Individual page.
- Clicking the Unit Activity button on the units page, choosing Cleaning and setting a date, if the Corporate Software Setting>Unit Settings allow dirty units to be rented is set to No.
- Clicking the Unit Activity button on the units page, choosing Maintenance, and setting a date, if the Corporate Software Setting > Unit Settings allow damaged units to be rented is set to No.
Marking a unit as Unrentable does not supersede Occupied or Reserved status. If the reservation is cancelled or the tenant moves out, the unit will be updated to Unrentable rather than Vacant.
VACANT
A vacant unit does not have a tenant associated with it. The unit is included in the available inventory and can be rented.
Units can become vacant via two methods:
- A reservation is cancelled
- A tenant moves out via the Move-Out module
Vacant units can be marked as dirty via the Add Activity button on the units page.
Vacant units can be marked as damaged via the Add Activity button on the units page.
Dirty or damaged status may change from Vacant to Unrentable if the Corporate Software Setting > Unit Settings Allow dirty or damaged units to be rented setting is set to No.
Vacant units can be changed to Unrentable via four methods:
- Clicking the Edit Status button on the units page.
- Editing the unit on the Facility > Units > Individual page.
- Clicking the Unit Activity button on the units page, choosing Cleaning and setting a date, if the Corporate Software Setting > Unit Settings allow dirty units to be rented is set to No.
- Clicking the Unit Activity button on the units page, choosing Maintenance, and setting a date, if the Corporate Software Setting > Unit Settings allow damaged units to be rented it is set to No.
Marking a unit as Unrentable supersedes Vacant status.
Company Owned
A company owned unit is any unit, irrespective of primary status, that has the Company Owned check box in Facility > Units > Individual checked. The unit has been removed from the available inventory and cannot be rented to anyone.
Units can become company owned via one method:
- Checking the Company Owned box while editing the unit on the Facility > Units > Individual page.
The Facility Dashboard provides the number of units designated as Company Owned.
Occupancy reporting does not recognize the Company Owned designation separately. Company-owned units will be included in Unrentable counts in occupancy reporting if the unit is vacant. If the unit is Reserved or Occupied, Company Owned units will be included in the Reserved or Occupied counts in occupancy reporting. It is not recommended to mark a reserved unit as Company Owned.
The units list will label unoccupied Company Owned units as Unrentable. Occupied or Reserved Company Owned units will maintain their Occupied or Reserved status until the tenant moves out or the reservation is canceled. Then, the unit changes to Unrentable.
