Refund Checks

The Refund Checks report provides a CSV-formatted list of refunds owed to tenants. The report is designed to inform accounting teams which tenants they need to write refund checks to. It provides key details like the address to mail the check, the amount of the refund, and notes explaining why a refund is needed. 

Three requirements must be met for a refund to be included in the list:

  1. The refund must be processed through the move-out process or auction process. Refunds processed directly from an invoice will not be included in the report.
  2. The refund method must be "check".
  3. The refund must be approved. Management approval may be required if the General Refund Setting in Corporate, Software Settings, Billing Settings is activated. If that setting is set to "Never require approval", approval is automatically granted at the time the move-out is completed.

Facility #: The facility's unique internal identifier. This value is set in the "Store Number" field in the Facility Info section of Corporate Settings.

Facility Name: The facility's name. This value is set in the "Name" field in the Facility Info section of Corporate Settings.

Date Refund was Submitted/Approved: If the General Refund Setting in Corporate, Software Settings, Billing Settings is set to not require refunds go through the approval process, the submitted and approved dates will be the same.

Unit #: The specific unit number involved in the refund.

Refund #: The invoice number assigned to the refund transaction.

Rent/Ins/Service/Retail/Tax Amt: The refund amount broken down by income or tax type. If the refund is for a fee, misc item, or security deposit, the amount of the fee, misc item, or security deposit will be included in the Total Amt column but not any of the other amount columns.

Total Amt: The amount the check should be written for.

Move Out Date: The date the tenant vacated the unit.

Tenant Name: The first and last name of the person who formerly occupied the unit and payee for the refund check.

Account Number: The unique internal identifier for the tenant's account (e.g., 1000441) 

Refund Address 1/Address 2/City/State/Zip: The address to which the check should be mailed.

Refund Phone/Email: The primary phone number and email address for the former tenant/payee.

Refund Notes: The explanation for the refund entered by the user processing the move-out.

Move Out User Name: The user who performed the move-out in Edge.

Approved By: The username or email address of the person who approved the refund.

Status: Always "approved". Denied refunds are not included in the list.

Type of Refund: This will be "moveout" unless the unit was processed through an auction. Then it will be "auction".
