Facility Comparison Report

The Facility Comparison report provides a comprehensive side-by-side view of key performance metrics across all your facilities or facility groups. This powerful report allows multi-facility operators to quickly identify trends, spot outliers, and compare performance across your portfolio in areas including activity, occupancy, economics, and financials—all in a single view.

Trailing day data: This report is built on trailing day data, meaning it can only be generated up to the prior day and not for the current day. Using trailing day data allows for static data and guarantees data completion and accuracy.

How to Use This Report

The Facility Comparison report is designed to help you:

  • Benchmark facility performance – Quickly compare key metrics like occupancy, economic occupancy, and delinquency rates across all locations
  • Identify best and worst performers – See which facilities are excelling or underperforming in specific areas like lead generation, rentals, or collections
  • Spot trends and anomalies – Use the AVERAGES row to identify facilities that deviate significantly from your portfolio average
  • Make strategic decisions – Use comparative data to allocate resources, adjust marketing spend, or implement operational changes
  • Monitor financial health – Compare collections, delinquency, allowances, and receipts across your portfolio

Pro tip! Export this report to Excel or CSV to create custom dashboards, perform additional analysis, or share with stakeholders. The export includes all columns and preserves the AVERAGES and TOTALS rows for easy reference.

Pro tip! Use facility groups to segment your portfolio by region, management team, or facility type, then run comparison reports for each group to drill deeper into specific segments of your business.

Pro tip! Compare the AVERAGES row to individual facility metrics to quickly identify outliers. Facilities with delinquency rates significantly above average may need immediate attention, while those with high economic occupancy can provide best practices to share with underperforming locations.

ACTIVITY

Data reflecting operational activity during the reporting period:

  • Leads – Total number of leads created during the reporting period. Hover over each number to see how many were opened, reserved, and cancelled.
  • Rentals – Net change in occupied units during the reporting period. Hover over each number to see the number of move-ins and move-outs.
    • Formula: Move Ins - Move Outs
  • Insurance – Number of insurance policies sold during the reporting period

  • Leads Opened – Number of leads that were opened (contacted) during the reporting period
  • Leads Reserved – Number of leads that converted to reservations during the reporting period

  • Move Ins – Total number of move-ins completed during the reporting period
  • Move Outs – Total number of move-outs completed during the reporting period

OCCUPANCY

Current occupancy statistics as of the report end date:

  • Units % – Unit occupancy percentage. Hover over each number to see the breakdown of unit counts by status.
    • Formula: Occupied Units / (Total Units - Unrentable Units - Complimentary Units)
  • Sq Ft % – Square footage occupancy percentage. Hover over each number to see additional square footage details.
    • Formula: Occupied Sq Ft / Total Rentable Sq Ft

  • Unrentable Units – Number of units marked as unrentable
  • Complimentary Units – Number of units rented at $0 monthly rent
  • Reserved Units – Number of units currently reserved

  • Occupied Units – Number of units currently occupied by tenants
  • Total Units – Total number of units at the facility
  • Occupied Sq Ft – Total square footage of occupied units
  • Total Sq Ft – Total rentable square footage at the facility
  • Occupied Sq Ft (PME) – Occupied square footage as of the prior month end, used to calculate change in occupancy
  • Rented Sq Ft Change – Change in occupied square footage during the reporting period. 
    • Formula: Occupied Sq Ft - Occupied Sq Ft (PME)

ECONOMICS

Revenue and economic performance metrics:

  • Econ Occ – Economic occupancy percentage, measuring revenue performance. Hover over each number to see occupied rent and potential rent revenue values.
    • Formula: Rent / Potential Standard Revenue
  • Collections – Total collections received during the reporting period, broken down by aging. Hover over each number to see totals by aging buckets.
    • Collections 11-30 – Collections from accounts 11-30 days past due
    • Collections 31-60 – Collections from accounts 31-60 days past due
    • Collections 61-90 – Collections from accounts 61-90 days past due
    • Collections 91+ – Collections from accounts 91 or more days past due
  • Delinquent Over 30 – Dollar amount of tenant balances that are more than 30 days past due

FINANCIALS

Financial performance and adjustments:

  • Allowances – Total concessions and adjustments given during the reporting period. Hover over each number to see the breakdown of allowances by type.
  • Receipts – Total payments received during the reporting period, categorized by type. Hover over each number to see the breakdown of receipts by type.

  • All Receipts – Sum of all receipt categories

Summary Rows

  • AVERAGES – Average values across all facilities for each metric. Percentages are weighted averages based on facility size where appropriate.
  • TOTALS – Sum totals across all facilities for each metric. Percentages in the TOTALS row represent portfolio-wide rates.

Additional Information

The Facility Comparison report can be filtered by:

  • Date range – Select any reporting period to analyze performance
  • Facility groups – Compare facilities within specific groups
  • All facilities – View your entire portfolio at once

This report is especially valuable when paired with individual facility reports like the Management Summary, Rent Roll, and Occupancy Report to drill down into specific facility performance details.
