How do I enable Future Move-Ins?

Future Move-Ins allow you to complete the move-in process before a tenant’s desired move-in date. You can automatically schedule tenant move-ins and grant facility access for a future date without manual follow-up. 

Enable Future Move-Ins

Follow the instructions below to enable Future Move-Ins.

1. Navigate to your Corporate Level Software Settings.

2. Click Settings under the Tenant section.

3. Click the Yes radio button under Allow Future Move-Ins.


4. Select the maximum number of days in the future a move-in can be scheduled (between 1 and 365 days).

Next, you’ll select Automatic check-in or Manual check-in.

Automatic or Manual check-in

Automatic check-in

If you select Automatic check-in on future move-in day, check-in will happen automatically on the tenant's move-in date without any manual action from a facility manager. If you select this option, you can choose one of the following gate access options:

  • Activate gate access code on future move-in day: The tenant’s gate code will be automatically activated at 12 a.m. on the scheduled move-in day, as long as the tenant has paid their first month’s rent.
  • Activate gate access code when initial move-in is completed: The tenant’s gate code will be activated immediately when the move-in is complete. This option is most commonly used with a short Future Move-In window if you don’t mind tenants having access to their units early.

Manual check-in

If you select Manual check-in, a facility manager will need to manually check the tenant in. If you select this option, you can choose one of the following gate access options:

  • Activate gate access code on future move-in day - The tenant’s gate code will be automatically activated at 12 a.m. on the scheduled move-in day, as long as the tenant has paid their first month’s rent.
  • Activate gate access code when initial move-in is completed - The tenant’s gate code will be activated immediately when the move-in is complete. This option is most commonly used with a short Future Move-In window if you don’t mind tenants having access to their units early.
  • Activate gate access code only upon check-in - The tenant's gate code will be activated once manual check-in is complete.

If you select Activate gate access code only upon check-in, you can choose whether you also want to Auto Vacate Future Move-ins

Checking the Auto Vacate Future Move-ins box will automatically move a tenant out if they aren’t manually checked in. Enter the number of days after the scheduled move-in date for the tenant to be automatically moved out. 

Auto Vacate can be With Refund or Without Refund

If you select With Refund, a task will be created in the task list for a facility manager to complete the refund.

Report settings

Select a radio button to indicate how you would like Future Move-Ins to be recognized on reports: Move-in creation day or Actual move-in day. 

  • Move-in creation day: Future Move-Ins will be recognized on reports on the date they are created, not the actual move-in date.
  • Actual move-in day: Future Move-Ins will be recognized on reports on the move-in date, regardless of when the move-in is created.

For example, if a Future Move-In is created on July 11th with a move-in date of July 15th and you select Move-In Creation Day, the move-in will be shown on reports on July 11th. If you select Actual Move-In Day, the move-in will be shown on reports on July 15th.

Please note: Early and late check-ins won’t change the move-in date on reports for either reporting option.

Future Move-ins will be reflected on the Move-Ins Report and the Walkthrough Report. Learn more about reports in our article: The Reports Tab.

Apply settings to your facilities

Expand the Facilities list and select which facilities the Future Move-In settings should apply to.

Click Save once all settings have been selected.

Notifications settings

You can send automated reminders to tenants by SMS and/or email by selecting the Yes radio buttons under Future Move-ins: SMS Reminders and Future Move-Ins: Email Reminders.

Allow Reminders before Move-ins: This option will send an automated reminder to the tenant before their move-in. Enter the number of days before the tenant’s move-in date for the reminders to be sent. Templates must include the Future Move-in Reminder trigger, be included in your facility document set, and be set to On.

Allow Reminders missed move-ins: This option will send an automated reminder to the tenant if you require manual check-in and they miss their move-in. Enter the number of days after the tenant’s missed move-in date for the reminders to be sent. Templates must include the Missed Future Move-In trigger, be included in your facility document set, and be set to On.

Expand the Facilities list and select which facilities the Future Move-In notification settings should apply to.

Click Save when you are done.

Unit level overrides

You can edit your Facility-Level Unit Settings if you want specific units to have a Future Move-In window that is different from the general settings. Enter the maximum Future Move-In window in the field under Future Move-Ins or enter 0 to exclude the unit from Future Move-Ins.
