Configure and Display Maximum Rent and the Duration of Promotions and Discounts on Leases

Quick Start
1. Enable Configure Max Rate for each facility in Corporate Settings > Billing settings.
2. Use Revenue Management to set Max Rates for unoccupied and occupied units or configure Max Rates at the unit group level (including facilities using tiered pricing).
4. Add lease replacement terms so tenants see caps and durations on their lease and tenant profile.

Prerequisites:
• Access to Corporate Settings to configure billing options.
• Access to Revenue Management for exporting and importing rate files.
• Permission to edit facility Units > Groups settings and to update lease documents.

Enable Maximum Rental Rate

  1. Navigate to Corporate Settings > Billing settings.

  2. In the Configure Max Rate section, check the box next to each facility where you want to set a Maximum Rental Rate.

  3. For each selected facility, select Yes to enable the Maximum Rental Rate capability.

  4. Review and save your changes so the Maximum Rental Rate is available throughout Revenue Management.


Set Maximum Rate

Unoccupied Units In Revenue Management

  1. Navigate to Revenue Management and open the view that lists unoccupied units for facilities with Configure Max Rate enabled.

  2. Confirm the Max Rate column is visible for these facilities (it will be blank for all units initially).

  3. Select Export to download the current rates as a CSV file.

  1. Open the CSV and enter the desired values in the New Max Rate column for each unoccupied unit.

  2. Return to Revenue Management and use the Import button to upload the updated CSV file.

  3. Review the upload results: a success message confirms valid data, while any attempt to set a unit rate greater than the Max Rate will return an error that you must correct before proceeding.

Note: The unit rate (Standard, Channel, Better, Best, etc.) must always be less than the Max Rate.


Occupied Units In Revenue Management

  1. Navigate to Revenue Management and filter or view Occupied units.

  2. Locate the Max Rate field for the occupied unit you want to review or adjust.

  1. Confirm that a Max Rate is set at move-in for existing tenants with an active ledger, capping the unit price at this value for 12 months.

  2. Use the Valid Through Date field to determine when the maximum rate period ends for each tenant.

  3. If you attempt to set the Current Rent Rate above the Max Rate, review and correct the rate when the system displays an error:

Unit Group Level

  1. Navigate to Facility > Settings > Units > Groups.

  2. Locate the Max Rate column in the groups list.

  3. Click the Edit icon for the unit group you want to update.

  4. Enter or adjust the Max Rate for the group, then save your changes.

  5. If you attempt to set a group Rent Rate higher than the Max Rate, review the resulting error message and lower the Rent Rate or raise the Max Rate accordingly.

Creating Unit Groups

  1. Navigate to Facility > Settings > Units > Groups and select the option to create a new unit group.

  2. In the group setup form, locate the Max Rate field.

  3. Enter a Max Rate that is less than or equal to the group’s Standard Rate.

  4. Review and save the new group configuration.

Note: The same validations apply when creating a new group. You cannot set a Max Rate higher than the Standard Rate.

Tiered Pricing

  1. Navigate to the facility’s Units settings and open the Tiered Pricing tab.

  2. Confirm that the Max Rate column is visible for reference.

  1. To edit or set the Max Rate for tiered pricing groups, switch to the Groups tab (next to Tiered Pricing).

  2. Update the relevant groups using the steps described in the unit group configuration section above.

Tenant's Page

  1. Navigate to the Tenant Page.

  2. Scroll to the Rentals section to view the tenant’s quoted maximum rate.


Update Leases

Display Maximum Rental Rate

  1. Navigate to your lease document template and edit it using the Create and Edit Letter Documents workflow.

  2. Insert the following replacement terms where you want this information to appear:

    • [[ledger.locked_max_rate]] — The max rate set for the tenant. Use this with [[ledger.locked_max_rate_valid_through_rate]] to show the expiration date.

    • [[ledger.locked_max_rate_valid_through_rate]] — The max rate expiration date.

    • [[ledger.current_promotions]] — A comma-separated list of the Description field of the active promotion(s) applied to the selected unit. For example: 25% off 3 months, Pay 6 months and get the 7th free. You can rename the promotion description to include its duration; this is pulled from the Promos options during move-in.

    • [[ledger.discounts]] — The value and timeframe of any manual, one-time discounts applied at move-in. For example: One-time $5 off discount - Rent 1/1/25 - 2/1/25. This is pulled from the Discount add button during move-in.

    • [[ledger.current_promotions_with_expiration]] — The promotion description and its specific expiration date. Multiple promotions are listed alphabetically, separated by commas, and the expiration dates match those shown on the tenant’s profile page.

  3. Save the lease template and preview a sample lease to verify that the Maximum Rental Rate and expiration display correctly.

An example lease below shows the Maximum Rental Rate set to $160.


Display Duration Of Promotional And Discounted Rates

  1. Navigate to the lease or other document template and edit it using the Create and Edit Letter Documents workflow.

  2. Add the following promotional and discount replacement terms where you want them to appear:

    • [[ledger.current_promotions]] — A comma-separated list of the Description for all active promotion(s) applied to the selected unit. For example: 25% off 3 months, Pay 6 months and get the 7th free.

    • [[ledger.discounts]] — The value and timeframe of any manual, one-time discounts applied at move-in. For example: One-time $5 off discount - Rent 1/1/25 - 2/1/25.

  3. Save the document and preview it to confirm that promotional descriptions and discount durations render correctly for a sample tenant.
