Storable Edge

E-sign helps you complete leases faster, reduce paperwork, and track every signature from a single place in Storable Edge.

Quick Start
1. Start a tenant move-in or transfer and proceed to the documentation stage.
2. Choose how the tenant will sign: Sign Now, Sign on Device, Send to Tenant, or Sign Later.
3. Guide the tenant through the on-screen signing steps
4. Monitor pending signatures on the Communications > E-sign tab and in the Task List under E-sign Needed.
5. View and print signed documents from the Communications > E-sign tab when needed.

Prerequisites
• E-sign is activated for your facility. Learn how in the Implementing E-sign article.
• To use a separate device, at least one device is paired with your facility in Edge settings and pointed to https://www.storedgefms.com/devices.
• To send SMS requests, SMS capabilities are enabled for your facility, and the tenant has opted in to receive SMS on their phone number.


Collect Signatures During Move-In And Transfer

  1. Navigate to the tenant's Move-In or Transfer workflow in Storable Edge, then proceed to the documentation stage.

  2. Review the documentation stage; Edge will alert you when a document requires an E-signature.

  3. Click Customer E-sign to open the Review & Sign Documents screen.

  4. Review the available signing options: Sign Now, Sign on Device, Send to Tenant, or Sign Later, based on whether the tenant is present.

If the tenant is present, you can have them sign using your computer or a paired device. If the tenant is not present, you can request a remote signature via email or SMS, or choose to sign later.

Collect In-Person Signatures On Your Computer

  1. Navigate to the tenant Move-In or Transfer workflow and open the Review & Sign Documents screen.

  2. Confirm that the tenant is present at your facility and ready to sign.

  3. Click Sign Now to start the E-sign process on your computer.

  4. Have the tenant review the documents on screen and complete the signing steps until all required fields are finished.

  5. Once the tenant has signed, follow the prompts to finalize the move-in or transfer.

Collect In-Person Signatures On A Separate Device

We recommend a recent iPad or tablet with a 7-inch screen or larger for use with E-sign.

  1. Navigate to the tenant Move-In or Transfer workflow and open the Review & Sign Documents screen.

  2. Confirm that a signing device (such as an iPad or tablet) is paired with your facility in Edge settings and that its browser is pointed to https://www.storedgefms.com/devices (Google Chrome recommended).

  3. On the Review & Sign Documents screen, click Sign on Device to send the documents to the paired device.

  4. If you have two or more devices paired, use the Sign on Device dropdown to select the specific device you want to use.

  5. Ask the tenant to review and sign the rental agreement or required documents directly on the paired device.

  6. After the tenant completes E-sign on the device, return to Storable Edge to continue and complete the move-in process.




Request Remote Signatures By Email Or SMS

  1. Navigate to the tenant’s Review & Sign Documents screen during move-in or transfer.

  2. Confirm that their email address and/or mobile phone number are correct in their tenant file.

  3. Click Send to Tenant on the Review & Sign Documents screen.

  4. In the Request Signature box, under Delivery Method, choose E-mail or SMS.

  5. Click Send Request to send the signature request link to the tenant by email or SMS.

  6. Let the tenant know they will receive a hyperlink to the E-sign screen where they can sign using their finger (on mobile), a mouse, or by typing their name in a chosen font.

E-sign links expire after 7 days but can be resent from Edge.

If you want to use a different email address or phone number than what is entered in the tenant's file, you can change it during this process and optionally update the tenant file.

Defer Or Cancel Signatures With Sign Later

  1. Navigate to the tenant’s Review & Sign Documents screen during move-in or transfer.

  2. If you cannot send a signature request via email or SMS, or prefer not to collect signatures immediately, click Sign Later.

  3. Complete the remaining steps of the move-in process. The documents will be available on the tenant’s Communication tab under E-sign.

  4. If the tenant decides not to move in or you no longer need the signature, go to the tenant’s Communication tab and open the E-sign section.

  5. Locate the pending E-sign request and click the option to cancel it. Confirm that you want to cancel the request when prompted.

  6. Verify that the cancellation is reflected on the Communications tab and that the document no longer appears on your Task List under E-sign Needed.

If you have canceled an E-sign request, it will be reflected on the Communications tab, and this document will no longer appear on your Task List under E-sign Needed.

Guide Tenants Through The Signing Experience

  1. Have the tenant open the E-sign link (from email, SMS, your computer, or a paired device). They will first see a welcome screen listing documents that require signatures.

  2. Ask the tenant to click OK to proceed to the signing experience.

The tenant can start signing by clicking the Start button. They will be taken to the first field in the document that requires a signature.

They should then click on the field that requires a signature.

The tenant can choose to Draw or enter Text to create their signature. If initials are required, an initial field will appear to the right of the Full name field.

If the tenant chooses to draw their signature, they should tap or click the Full Name or Initials field to get started.

Then they will sign using the cursor or their finger.

Click Confirm to save the signature.

Check the box labeled "I agree to use electronic records and signatures." Tenants should click the Electronic Record and Signature Disclosure link for more information prior to checking the box.

Click Adopt and Sign.

Click Next at the bottom of the screen or press the Tab key to jump to the next signature field. The tenant can simply click each required signature field to apply the signature they created.

The tenant can navigate between documents by simply scrolling down the page. They can also click the dropdown menu in the top left corner to jump to another document and see the status of each document.

When all required fields have been completed, the tenant will see a Finish button at the bottom of the screen. Click Finish.

Click Submit to submit all completed documents.

Resend Or Regenerate Signature Requests

  1. Navigate to the tenant’s Communications tab and open the E-sign section.

  2. Locate the E-sign document that has not yet been signed and verify whether its link is still valid (E-sign links expire after 7 days).

  3. If the link has not yet expired, click Re-Send and select the delivery method (E-mail or SMS).

  4. If the link has expired, click Re-Generate to create a new link.

  5. Choose the delivery method and enter or confirm the tenant's phone number or email address.

To send SMS communications, the tenant must be enabled to receive SMS on their phone number, and your facility must have SMS capabilities activated.

You can then choose the delivery method and enter the tenant's phone number or email.

View, Print, And Audit Signed Documents

  1. Navigate to the tenant’s Communication tab and click the E-sign section.

  2. Review the Status column to see whether each document is signed, pending, or canceled.

  3. Use the Last Request column to see the date of the most recent request and how many attempts were made via email or SMS.

Print A Signed Document

  1. On the tenant’s Communication > E-sign tab, locate the signed document you want to print.

  2. Click View to open the signed document in your browser.

  3. Use your browser's native Print button to print the document.

Signed documents can be viewed or printed by clicking View.

Review The Signature Certificate

  1. Open a signed document using the View option on the Communication > E-sign tab.

  2. Scroll to the last page of the document to view the Signature Certificate.

  3. Review the certificate details to see when and how the document was created and signed for auditing purposes.

Keep Track Of Unsigned Documents

  1. Navigate to the Task List in Storable Edge.

  2. Locate the E-sign Needed section to see how many documents at your facility still require signatures.

  3. Review each listed document and follow up by resending, regenerating, or canceling E-sign requests as appropriate.

  4. Remember that documents appear on this list the day after a signature was requested and not received, or the day after you deferred signing by selecting Sign Later, and remain until E-sign is completed.

Include E-Sign Links In Two-Way Email

  1. Navigate to the tenant record in Edge and open a Two-Way Email message.

  2. Confirm that the tenant's unit has unsigned E-sign documents attached to it.

  3. Insert an E-sign link into the email so the tenant can easily access and sign their documents.

  4. Send the email to the tenant and let them know the link will expire after seven days and can be resent if needed.

  5. For detailed instructions on using Two-Way Email, review the Two-Way Email article.

E-sign links emailed to customers will expire after seven days. After they expire, the link will need to be emailed again.
