Processing a move-out in Storable Edge ensures that all outstanding balances are settled, required move-out documentation is generated, and unit maintenance is scheduled for the next rental. You can require approval for refunds in your refund configuration.
Quick Start
1. Start the move-out from the Nav Bar, tenant page, or unit page.
2. Select the tenant, unit, move-out date, and move-out reason.
3. Review balances, fees, deposits, and unit tasks.
4. Attach required documentation and complete payment or refund.
5. Confirm the move-out, send receipts, and optionally retain any remaining security deposit as income.
Initiate the Move-Out

You can start a move-out from three locations. Choose the one that fits your current task:
From the Nav Bar, click the … icon and select Move-Out.
From the tenant's general page, click Move-Out under the Rentals section.
From the unit's general page, click Move-Out under the General Information section.
When beginning a move-out from the Nav Bar, review the Move-Out pop-up that appears and confirm you are on the correct tenant or unit. In the Tenant or unit field, begin typing the tenant name or unit, then select the correct option from the list.
Click the Desired move-out date field and choose the correct date from the calendar.
Click Move-out now to open the full Move-Out screen.
Scheduled move-outs appear at the bottom of the Move-Out pop-up. Clicking one opens that move-out.

Select a Move out reason from the dropdown menu.
You can add custom move-out reasons in your Corporate software settings. Learn more in: Move out and lead close reasons.
If the tenant rents multiple units, use the unit dropdown to choose the correct unit for move-out.
Click the blue Move-out now button to process the move-out immediately, or click Schedule to set the move-out for a future date. If scheduling, click the Desired move out date field and choose the future date from the calendar.
Optional Move-Out Steps
Backdate the Move-Out
At the top of the screen, review the Desired move-out date shown under the tenant's name. To backdate the move-out, click the date field and choose a past date from the calendar. Any charges created after the backdated move-out date will be automatically removed.
Add Move-Out Fees
In the Move-out Fees section, click Add Fee.
In the popup window, enter the Amount and Reason for the fee.
Click the blue Apply button to add the fee and update the tenant's balance at move-out.
Mark Prepayments and Security Deposits Balances for Refund
Review the tenant's Prepay Balance and Security Deposit Balance in the Review section.
If a refund is owed, click the Refund button beside the Prepay Balance or Security Deposit Balance you want to refund.
If the tenant owes a balance and you want to apply the security deposit to it, click the Refund button next to the Security Deposit Balance, then follow the prompts.
Waive Fees and Credit Rent or Other Charges
In the charges table, review line items for rent, fees, insurance, services, refunds, and rent-to-be-charged.
To waive a fee, click the Waive button on the appropriate line item. The waive is recorded in the Fees Waived report under the source Move Out.
To remove or credit rent, insurance, or other charges, click the Credit or Remove buttons as appropriate. These credits appear in the Credits Issued report under the source Move Out.
If you change the move-out date after applying waives or credits, you'll see a banner message indicating those actions were cleared and need to be reapplied.
Review the total below the table to confirm whether the account shows Balance due at move-out or Refund owed at move-out.
Complete the Move-Out
To schedule post-move-out work, check the Schedule maintenance or Schedule cleaning boxes and select the date by which the task should be completed.
Checking Schedule maintenance or Schedule cleaning automatically creates tasks in your Task List and may render the unit unrentable until those tasks are completed, depending on your facility settings.
Enter any important notes about the move-out in the note field, and click the star icon beside IMPORTANT to prioritize the note if needed.
Click Next in the lower right to proceed to the Documentation stage.
Review the list of available move-out documents under the Documentation section.
Select documents to attach by checking the boxes next to each title, or check Select All to attach all available documents.
To unattach a document, clear the checkbox next to its title.
Click Print Selected to print any selected documents for the tenant.
Click Next in the lower right to proceed to the Payment stage where you can accept payment or issue a refund.
If the tenant neither owes money nor is due a refund, you'll see a message indicating that no money is owed.
Issue a Refund During Move-Out
On the balance summary step, review the tenant's Prepay Balance and, if a refund is due, select Refund next to Prepay Balance to begin the refund process; optionally, choose to refund the tenant's security deposit as well.
In the expanded balance table, choose which prepaid balance items to include in the refund. To exclude any line item, select Remove next to that item, then select Next to continue through the Documentation stage of move-out.
At the Refund stage of move-out, choose a refund method by selecting Cash, Check, or (if a card is on file) Refund to Original Method, or select Deny Refund if no refund should be issued.
Enter the required refund details: type a reason for the refund (required) and, if issuing a check, enter or confirm the mailing address; then select Issue Refund to complete the move-out and process the refund.
Depending on your facility's settings, you may not be able to issue a refund; instead, select Request Refund Approval to submit a refund approval request. The move-out will be complete, the refund will be pending approval, and the tenant's record reflects it on the History tab.
Move Out a Tenant Who Still Owes a Balance
If you are moving out a tenant who has not paid the balance due, click Pay Later.
Confirm that the move-out is complete and the unit becomes available for rent while the balance remains open on the tenant's account.
On the confirmation screen, optionally choose to write off the remaining account balance as bad debt. For more details, see: Writing Off Bad Debt.
Confirm Move-Out and Send Receipts
The final section of the move-out process is the Confirmation stage.
Review the confirmation message indicating the move-out was successful and that any payment or refund has been processed.
Review the table of charges and refunds to verify line items and totals.
Under Receipt, click Print to print the tenant's receipt.
To email the receipt, enter an Email address, check Update email address if you want to save it to the tenant's profile, and click Email.
Under Documentation, choose whether to print or email any documents attached to the move-out.
When finished, click Close in the lower right to finalize the move-out and close the confirmation screen.
If the tenant still has a balance and wants to pay immediately, click Process Remaining Balance to process the payment.
If the tenant has a remaining balance you want to close as bad debt, click Write off Bad Debt. The Write Off Bad Debt button will also remain available later on the tenant's ledger if you choose to write it off at a different time.
Managing Move-Outs
Retain Security Deposits as Income
If you did not refund the tenant's security deposit at move-out and want to retain it as income, open the tenant's ledger.
Locate the security deposit line item and click the arrow to the right, then click Retain Deposit.
In the confirmation window, review how the retained deposit will be recognized as Other Income and no longer as a liability, then click Continue to proceed.
Retaining a deposit as income cannot be undone.
Approve and Deny Pending Refund Requests
Requiring approval for refunds is optional and controlled by your refund configuration.
Prerequisites
• You must be designated as a refund approver in your organization's configuration.
Approve
Navigate to the Corporate section and open the Tasks tab to view any pending refund approval requests, or use the link in the refund notification email you received.
On the refund approval screen, review the refund details and select Approve for any refund you wish to approve.
When prompted to confirm, select Continue to finalize the approval; the system confirms that the refund has been successfully approved and updates the tenant's record and related reports accordingly.
To prepare check payments for approved refunds, go to the Corporate section, select the Reports tab, under Financial, choose Refund Checks, define the date range you need, and select Generate Report to list all approved refunds payable by check.
Deny
Navigate to the Corporate section and open the Tasks tab to view any pending refund approval requests, or use the link in the refund notification email you received.
Select the refund you want to deny and choose Deny on the refund approval screen.
When prompted, confirm that you want to deny the refund and enter the required reason for denial in the comments field; then select Continue to finalize the denial. The denial appears in the tenant's history, but no changes are made to the tenant ledger because no money has changed hands.
